Making a Booking
Booking requests are submitted using the online booking form on The Tamariki Club‘s website, www.tamarikiclub.com.
Responsibility for the details of bookings and payment lies with the person making the initial booking. If the session you require is fully booked, you will be placed on a waiting list. In the event of a space becoming available, The Tamariki Club will contact you.

Payment
There are 2 options you can choose from regarding payment of your booking.
- Option 1: The invoice is paid in full within 14 days of receipt.
- Option 2: We can offer you a monthly payment plan. The minimum monthly payment is £50. The 1st payment on your monthly plan must be received by us within 14 days of receiving your invoice, and the last payment is made 2-3 weeks before the final week you have booked.
- Option 3: If applicable, you can forward your invoice to Income Support. We will then be able to organise a specific payment plan that meets your arrangements with Income Support.
Our preferred method of payment is online banking, although payment is also accepted by cheque.

Process for Changing or Cancelling a Booking
- 6 weeks’ notice or longer:
100% refund for all cancellations and/or changes to bookings, minus a £25 administration fee (please see below for further details). - 2 to 6 weeks’ notice:
50% refund for all cancellations and/or changes to bookings. - Less than 2 weeks’ notice:
NO refund for all cancellations and/or changes including sickness.
There are specific cut-off dates for each holiday club listed here on our website.
Administration Fee for cancellations
– All cancellations/change requests that are received with 6 weeks or more notice, will incur a £25 administration fee.
– Once your invoice has been emailed out to you for payment, then the £25 administration fee will be applicable with any change or cancellation requests.
– If a cancellation request is received before any payment has been made on account, then the person responsible for the booking must first pay the £25 administration charge before the cancellation can be processed in accordance with the above deadlines. The person responsible for the booking, will continue to be liable for the full fee balance until the £25 administration fee has been paid.
This fee will be charged to your account, each time you make a request to cancel or change your booking – but you may list several cancellation changes within the one email request.
Example One:
- Email request dated February
- Request to change your Summer Week 1 booking to Summer Week 2, plus cancel the October half term week.
- This would incur one x £25 administration fee.
Example Two:
- Email request dated February
- Request to change your Summer Week 1 booking to Summer Week 2.
- This would incur one x £25 administration fee.
- 2nd email request dated March
- Request to cancel the May half term week.
- This would incur a 2nd £25 administration fee, as it is a separate and 2nd cancellation/change request.
Late Pick-Up Charge
Children must be collected latest by the end of your session, i.e. 3.30pm or 5.30pm. If a child is collected late and after this time, then a £20 late pick-up fee will be added to your account for that day.
Personal Property
All personal property is the participants’ responsibility, unless loss or damage is proven to be due to The Tamariki Club’s negligence. Expensive and/or treasured items should not be brought to The Tamariki Club.
Meals and Snacks
Please provide your child/ren with a packed lunch, and a morning and afternoon snack, lunchtime is around 12.15pm.
Please note that The Tamariki Club is a NUT-FREE ZONE and any nut-based products brought into the premises will be confiscated and returned to parents at the end of the session.
Session Changes
The Tamariki Club reserves the right to change session specifications wherever necessary. If a session is cancelled because the club is unable to open that day e.g. adverse weather conditions, you will be given a credit for that day’s session to be used at a later date. No refunds will be issued in this instance, only credits on accounts. A decision will be made by 6.30am that morning as to whether the club will be open that day, and a message will be posted on our website and our Facebook page.
Session Changes (Covid related) – Prior to the holiday club start date
If The Tamariki Club is unable to open for any reason related to the Coronavirus, and this event happens before the first day that the holiday club is open, then The Tamariki Club will issue credits to parent’s accounts for any fees paid for that particular holiday, 100% value less the £25 administration charge. There will be no cash refunds issued, but the credit on parent’s accounts can be used for payment for any future bookings.
Session Changes (Covid related) – During the holiday club period
If the Government of Jersey, or the Contact Tracing Team, or any other relevant authoritative body, deem it necessary for any child attending to self-isolate due to Coronavirus (whether that is an individual, small group, or the entire club attendance), then The Tamariki Club will offer a credit of fees to accounts, for the specific days the child was away from the club. This credit will be available for any future bookings, and does not have an expiry date. There will be no cash refunds in this instance.
Insurance
All participants are covered by Public Liability Insurance whilst at The Tamariki Club, however The Tamariki Club cannot be held responsible for any act, omission, loss or damage unless proven to be caused specifically by the club’s negligence.
First Aid
There will always be at least one Certified Appointed First Aider at each session. In the event of an accident, first aid will be administered to participants in our care and, if necessary, the emergency services will be called.
Exclusion after Sickness
If your child is unwell at home with sickness and/or diarrhoea, they should be kept at home for a minimum of 48 hours following the last episode of illness. If they are sick and/or have diarrhoea at the club, there must be a minimum period of 48 hours following the last episode before they return to the club. We ask that your child must be well enough to eat a normal diet when they return.
Sickness/Absence due to Coronavirus
If your child shows symptoms of the Coronavirus at home, we ask that you do not bring them in to Tamariki. You should instead contact the Coronavirus Helpline to book a PCR test.
If your child has been sent home from Tamariki with suspected symptoms of the Coronavirus, then we ask that you call the Coronavirus Helpline (tel.0800-73 555 66) and book a PCR test.
If your child received a positive test result, please forward this email to us straight away. We ask that you keep your child at home until they have 2 negative lateral flow tests, 24 hours apart. Once they have these 2 negative tests, and feel well enough to be at Tamariki for the day, they are very welcome to return to the club. Once they return to the club, or your booking has ended (which ever is sooner), we will then process a credit to your account which will be for the number of days that your child missed due to having Covid. This credit will be available for any future bookings, and does not have an expiry date. There will be no cash refunds in this instance.
Arrival & Departure
Each participant must be signed in at the beginning and signed out at the end of each session. It is the responsibility of parents/guardians/authorised person to ensure they always comply with these procedures. Written permission (e.g. email) must be provided for collection of a child by an alternative adult.
Photography
During sessions, photographs may be taken of participants during course activities. These images may be used for publicity purposes in an image, on video, on our website, our Facebook page, or in printed publications. If you do not wish your child’s image to be used please indicate this on our booking form.
Equal Opportunities
We consider language, behaviour or action that is designed to be offensive or creates discrimination to any user of the The Tamariki Club or member of staff, unacceptable and will not be tolerated.
Behaviour Expectations
If any behaviour at The Tamariki Club is considered inappropriate, the offending child or children will be given a verbal warning (Step 1). The staff member will discuss with the child what the correct behaviour is, and why their behaviour is unacceptable/unsafe.
If the child continues with this same incorrect/unsafe behaviour, the staff member will remind the child that their behaviour is not acceptable/safe and why (Step 2). The child will be informed that if their behaviour continues in the same way, then they will be removed from the activity.
If the behaviour persists, the staff member will ask the child to move to a new activity, with the support of the staff member (Step 3).
If the child continues to ignore the member of staff and is considered to be affecting the equilibrium of the whole session, then a parent will be called and the pupil asked to leave (Step 4). At this level, The Tamariki Club will have the right to decide when the child/ren should return to the club, this will be based on the level of inappropriate behaviour. If a child is stood down due to their own behaviour choices, then The Tamariki Club will not be liable to refund any fees for that particular session/s.
Data Protection
The information we collect is only for the purpose of processing your booking and providing the childcare service, we only collect necessary information to fulfil this purpose. This information will be kept for as long as is necessary to meet our regulatory requirements. We use third-party suppliers to help provide this service, all third party suppliers meet GDPR guidelines. We protect your information with a combination of technical and organisational security measures.
Disclosure of Information with regards to the Coronavirus Pandemic
If we are required to provide information to the Covid Team, the Coronavirus Helpline, or the Government of Jersey regarding any Coronavirus cases, then The Tamariki Club will share only the relevant and specific information requested and for this purpose only.
Medication – temporary conditions, or illnesses
We are not able to administer any non-prescription medication including Calpol and Piriton.
In the event of a child requiring prescribed medication, parents must give written permission for it to be administered. You should be specific in terms of the name of the medication, dosage, frequency and storage. All medication must be in the original packaging and include the pharmacist’s/GP’s prescription label.

“Only prescribed medication or treatment is to be administered to children whilst they are in registered provision, and this must be at the written request of parents. Medicine accepted must be in the original pharmacist’s bottle or package.”]
Allergies – ongoing conditions
Any medicine that is required for an ongoing condition/allergy requires a letter from your GP, asking for the following information:
– Description of the type and nature of the allergy (state symptoms for mild, moderate and severe reactions).
– Treatment plan – for mild, moderate and severe reactions.
Please ask us for a template letter that we can email you, and you can take to your GP to fill in.
If you bring your child in to the holiday club, without their required prescribed medication (e.g. asthma inhaler, Piriton, EpiPen), The Tamariki Club has the right to refuse entry until we have received the medication, with the required original pharmacy/GP label on the bottle or package.

The Tamariki Club endeavours to satisfy all of our valued participants. If you have any concerns or suggestions please tell us and we will make every effort to rectify matters.
In addition to this, there is also a formal method of communicating your concerns or issues, and this is to our regulating body – Childcare & Early Years Service (CEYS).
